Enable waitlist to allow your guests to signup for your sold out event

The waitlist feature allows attendees to sign up for a sold-out event, giving you, the organizer, the flexibility to approve new ticket orders as they become available.

To enable and manage waitlist, go to the Waitlist page when managing your event.


Attendee Perspective

When a ticket is sold out, attendees will see an option to Join the Waitlist.

A person joining the waitlist will need to enter their name and email. Then, they need to wait for you to approve their request. Attendees automatically receive a confirmation email when they join the waitlist.


Organzier Perspective

When an attendee joins the waitlist, they will appear on the Waitlist page with their information and status. Click on an attendee's row to view their Waitlist Order Details, including their position number and options to approve or decline their request.

Statuses

There are five possible statuses for a waitlisted attendee:

  • Waiting: The attendee has joined the waitlist and is waiting for a response.

  • Notified: You have notified the attendee that they can now order a ticket.

  • Expired: The notified attendee did not claim their ticket within the specified claim duration.

  • Claimed: The attendee has been approved and has successfully ordered their ticket.

  • Cancelled: You have cancelled the attendee's waitlist request.

Approving Waitlist Orders

You have two ways to approve a waitlisted attendee: Notify Attendee and Manual Assignment.

Notify Customer

Clicking this button sends an email to the attendee with a special link, allowing them to claim their ticket. They have a limited time to accept the ticket before their order expires. By default they have 1 day to accept, but you can change this duration in the Waitlist Settings.

Manual Assignment

This option allows you to automatically approve an attendee. If you have multiple ticket types or sessions, you can choose which one they receive. They will receive an email with their ticket.

  • Important: If the ticket is paid, the attendee will automatically receive their ticket without having to complete the payment process.


Waitlist Settings

At the top right of the Waitlist page, you'll find the settings for your event's waitlist.

Enable Waitlist

You can enable or disable the waitlist at any time. Disabling it will prevent new attendees from joining, but those already on the list will remain. You can still approve or decline existing waitlist requests.

Waitlist types

Choose whether attendees can join the waitlist for the Entire Event (any sold-out ticket) or for Specific Tickets only.

Claim Duration

This setting determines how long a notified attendee has to claim their ticket before the order expires. By default, the duration is set to 1440 minutes (24 hours). You can adjust this to any time you want.
